Kubota Engine America is seeking a Regulatory Compliance Coordinator for a hybrid role in Lincolnshire, IL. The position involves managing regulatory matters related to emissions, document management, and compliance reporting. Responsibilities include coordinating with customers and headquarters in Japan, processing emission label requests, and supporting compliance workshops. A strong knowledge of environmental regulations and excellent customer service skills are required. Salary range is $70k-87k, with benefits included.
JOB TITLE: Regulatory Compliance Coordinator

DEPARTMENT: Engineering

REPORTS TO: Sr. Manager, Environmental Compliance

FLSA STATUS: Exempt

The role is located in Lincolnshire, IL (north of Chicago). This is a hybrid role (after 30 days).

Salary Range: $70k-87k Depending on Experience

Job Description Summary

The Regulatory Compliance Coordinator will perform the tasks necessary to manage key regulatory matters regarding emissions as they relate to the day-to-day business operations. The Associate will work closely with customers from the office located in Lincolnshire, IL and coordinate daily activities with headquarters in Osaka, Japan.

Duties and Responsibilities

- Responsible for document management of the regulatory compliance for emissions related matters for all departments of KEA, which includes delegated assembly documents, monthly reports and annual affidavits, etc.

- Responsible for the exempt engines management such as Test Exempt, Replacement, Export, NSE etc. , which includes tracking and reporting per EPA's requirements.

- Process various emission label requests from customers and record proper evidence.

- Manage MSHA kits and track them for agency audits

- Manage Kubota Compliance Management system and provide educational training to internal and external customers

- Document compliance by completing emission related installation instructions, recording test results; preparing investigative reports; preparing and filing Declarations of Conformity; maintaining compliance database

- Provide support in preparation for the Compliance Workshop and do the required compliance presentations to the audience

- Work with the ECCC (Environment and Climate Change Canada) for various engine importation queries and Canada Unique approvals

- Support Manager for Carbon Neutral activities and research activities

- Responsible for document management of monthly reports from distributors, OEMs for Kubota CI, LSI and SSI engines. Review, compile and submit to Kubota Japan while maintaining proper record in local office

- Process incoming requests from customers in timely and professional manner

- Follow up with internal and external customers for close loop action on various tasks

- Arrange shipping for emission labels, documents and record shipping details in organize manner

- Create and publish emission compliance bulletins

- Provide data to the manager when requested for quarterly and annual reporting to agencies

- Communicate with Kubota Japan on various compliance topics

- Keep emissions and legal information confidential

- Manage special projects as assigned

- Maintain as organized and secure work environment

- Inform manager of all noteworthy activities

- Follow safety guidelines, department and corporate policies and procedures

Job Knowledge, Skills, and Abilities

- Broad knowledge of environmental topics is required (EPA 40CFR, 13CCR and ECCC regulations)

- Knowledge of Compression Ignition and Spark Ignition engines

- Prior experience handling regulatory matters is preferred but not required

- Basic knowledge of engineering concepts

- Excellent customer service skills

- Ability to read, understand and prepare engineering technical bulletins and documents

- Intermediate knowledge of word processing and spreadsheet applications

- Strong organizational skills and attention to detail

- Ability to follow standard work instructions; be reliable and punctual

- Ability to multi-task, establish priorities and meet deadlines, maintain a flexible attitude and approach towards assignments, and maintain level of organization in a changing and fast paced environment

- Good command of the English language, both written and verbal

- Working knowledge of SAP is preferred but not required

- Ability to comprehend an extensive variety of instructions, both oral and written

- Ability to define problems, collect data, and establish facts

- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers and decimals

- Proficient knowledge of Microsoft Office programs such as word processing and presentation applications and intermediate knowledge of spreadsheet applications

- Ability to follow through on assignments

- Ability to operate telephone, copier, fax machines, and other general office equipment

- Ability to travel less than 20%, possibly on last minute notice

Education and Training

- Associate's degree in automotive technology or related field or currently enrolled in a Mechanical Engineering program

- 3 - 5 years' experience with off-road industrial gasoline and/or diesel engines

Physical Demands

- Sitting for long periods of time with some walking, stooping, bending, and reaching

- Dexterity to make fast, simple, repeated movements of the fingers, hands, and wrists

- Movement by holding, turning, and grasping of objects

- Ability to hear normal conversations on phone or in person

- Ability to see more than 20 feet

- Ability to see color and see/read computer screen

- Reaching by extending hands in any direction

- Ability to travel by car and air

Work Environment

- Work is performed in an office environment. Noise level is moderate

- Limited exposure to the warehouse. Limited exposure to temperature variations when shipping doors are open

- Limited exposure to engine testing labs. Noise level ranges from moderate to very loud

- While traveling, will experience noise and comfort levels common to automobiles and airplanes
