Job Description

The University of Southern California seeks a Waste Recycling Contract Coordinator to assist in planning and coordinating service contracts related to waste management. Responsibilities include reviewing agreements, assessing service quality, maintaining contract logs, and supporting the Zero Waste Initiative. The role requires collaboration with various stakeholders and ensuring compliance with university policies and regulations. This position is based in Glendale, CA and is not remote.

The Waste Recycling Contract Coordinator
Assists with planning and coordinating assigned services contracts. Reviews contract agreements to ensure contracted services are provided. Assesses service quality to ensure compliance with university policy and procedures, state/federal laws and regulations, and contract specifications. Administers, extends, negotiates, and terminates standard contracts.


Job Accountabilities

Evaluates the effectiveness of vendor services. Recommends and implements modifications to achieve quality service. Coordinates with contract agency managers regarding quality control, inspections and agreements.
Partner with the Zero Waste Team to track and respond to service request reports, investigate service issues, and implement effective resolutions to ensure consistent service delivery.
Prepares contract documents, amendments and other documents related to specific projects or services for the department. Inspects work quality and reviews agreements to ensure contracted services are provided in accordance with contract requirements.
Maintains contract logs. Tracks master agreement expiration dates. Issues amendments extending contract documents. Develops and maintains internal database system to monitor and track contract services activity and information. Maintains statistical information regarding contract services and generates reports, as needed.
Communicates with project managers, consultants, architects and contractors in order to obtain necessary information to create contract documents. Assists new vendors with requirements of the procurement process. Liaises with customers to discuss and address service issues. Identifies possible impacts or outcomes and presents recommendations.
Support the University Zero Waste Initiative by coordinating and assisting with the implementation of new waste diversion programs and supporting composting, recycling, and reuse services for campus-wide events.
Routes documents for internal approval and external signature. Assures routing approval and executed documents are uploaded to department's project management information system and properly distributed. Reviews contract request documentation for completeness. Reviews certificate of insurance documentation to verify compliance with contract requirements.
Promotes an environment that fosters inclusive relationships and creates unbiased opportunities for contributions through ideas, words, and actions that uphold principles of the USC Code of Ethics.
Develop and maintain collaborative relationships with building managers to educate and communicate waste service issues related to building enclosures and identify cost-efficient service solutions.
Performs other duties as assigned or requested.

Minimum Qualifications

Associate's degree. Combined experience/education as substitute for minimum education.
3 years of relevant experience.
Valid CA driver's license required with a minimum of 2 years' driving experience. Position will participate in the Department of Motor Vehicles (DMV) Pull Notice System. A copy of DMV record will be required as a final condition of employment. For more information, please visit the policy website.
Ability to comprehend contract language.
Facilities maintenance and contract administration.
Demonstrated skill and ability to draft requests for proposals and contractual agreements from standard, existing university contracts.
Excellent customer service experience.
Excellent written and oral communication skills.
Proficiency with relevant scanning/imaging applications (e.g., Adobe Acrobat Pro).

Preferred Qualifications

Strong understanding of the RecycLA City contract and the ability to maintain effective, collaborative working relationships with the Zero Waste Team to ensure service needs are consistently met, and campus sustainability goals are advanced.
Ability to coordinate complex waste and recycling services across a large, diverse campus - effectively partnering with multiple departments, vendors, and stakeholders to ensure contract requirements, service quality, and cost-saving goals consistently met.
5 years of experience in waste operations experience.
Comprehensive understanding of current laws and regulations covering contractual agreements.
Experience coordinating contracts in university environments.

Hourly Range
The hourly range for this position is $39.00/hr - $41.76/hr.
