Job Description
Octavia Carbon is seeking a Logistics and Warehousing Lead in Nairobi, Kenya. The role involves managing the flow of goods, overseeing procurement, customs clearance, and warehouse operations. Responsibilities include maintaining accurate records in the ERP system, leading the logistics team, and ensuring operational efficiency. Job Overview
You will be responsible for managing the end-to-end flow of goods into Octavia Carbon, from global procurement and overseas consolidation through customs clearance to final delivery and warehouse storage, in a fast-paced environment where components are sourced from multiple countries on tight timelines. The role requires meticulous record-keeping and documentation across the ERP system, including the Landed Cost Tracker, payables, and warehouse modules, to ensure full visibility and accountability over inventory and costs at every stage. You will also lead and develop the procurement and logistics team, fostering operational discipline, safety, and efficiency within the warehouse while minimizing loss and damage to inventory.
Finally, the role demands strong, professional communication with local and international stakeholders to keep shipments moving smoothly and support Octavia's broader operational goals.
Key Responsibilities
Logistics Functions
Procure and manage overseas warehousing, consolidation and forwarding services to ensure customs clearance and delivery to local premises.
Coordinate procurement of local and overseas deliveries, shipment schedules, and logistics services.
Maintain accurate and up-to-date records of all clearing and shipping activities.
Maintain and update the Landed Cost Tracker (LCT) module in the ERP.
Warehousing Functions
Maintain accurate inventory records in line with incoming and outgoing goods.
Manage and organize the warehouse area to ensure safety and operational efficiency.
Oversee proper storage and handling of inventory to minimize loss and damage.
Maintain the warehouse module in the ERP
Procurement Functions
Maintain the payables module within the ERP system.
Procure inventory and services as required by various departments.
Source inventory and service providers both locally and internationally.
Managerial and Admin Functions
Lead the procurement and logistics team.
Coordinate stakeholder engagements professionally and effectively
Any other duties as assigned by management
Requirements:
A bachelor’s degree in supply chain management or a related field
Strong proficiency in Excel and Data analysis
Hands-on experience with ICMS systems
3 - 5 years experience in customs clearance
Excellent in customs regulations, procedures and compliance
Experience coordinating heavy equipment transportation and installation
Deep understanding of warehouse operations and processes
Prior experience using a Warehouse Management System (WMS)
Excellent analytical and problem-solving abilities
Strong teamwork skills and the ability to communicate effectively with diverse stakeholders
Desired Attributes:
Professional certifications in logistics or supply chain management.
Experience in team leadership and people management
Proactive and solution-oriented mindset with a focus on process improvement.
