Position Objective

The Part-time Administrative Assistant is an integral member of the ZHP administrative team, providing support to ZHP clinical and pathology staff to facilitate their ability to perform their duties. This position reports to the Administrative Assistant and supports the Bronx-Zoo based Zoological Health Program. The position is collaborative and works closely with department staff and across many WCS departments. Excellent attention to detail, being proactive, and possessing strong writing, communication and problem-solving skills are all important elements contributing to success in the role.

Principal responsibilities

The individual’s main responsibilities will be to support the Administrative Assistant and ZHP staff with administrative duties. Responsibilities include:
• Perform reception, switchboard/paging, communication, mail distribution, and administrative functions for Zoological Health Program.
• Provide administrative and logistical support for ZHP operations.
• Receive and screen visitors and staff entering the Wildlife Health Center.
• Maintain Wildlife Health Center (WHC) filing systems and library records.
• Complete clerical duties as directed (photocopying, medical records, check requests, travel reimbursements, scheduling tours).
• Operate and maintain office equipment.
• Assist in updating ZHP written materials and records, including the digital wall directory, tour packets, Safety Data Sheets (SDS), and others as needed.
• Perform cross coverage for the Administrative Assistant when absent and as directed.
• Other duties and responsibilities as assigned.

Qualification Requirements

Qualifications
• 1-2+ years of administrative support in any setting
• Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Publisher)
• High school diploma or equivalent is required, although some college is preferred
• Excellent writing, organizational, and interpersonal skills with fine attention to detail
• Experience communicating across a variety of departments
• Basic math and critical thinking skills
• Ability to handle several projects from start to finish simultaneously
• Valid Driver’s License preferred

1-3 days onsite per week; no weekends or holidays; 7 hours per day, 9am-5pm

Hourly rate – $16.50-$19.00/hour, depending on experience
