Job Description
Green Infrastructure Partners is hiring a Materials Coordinator in Hamilton, ON. The role involves customer service, documentation control, logistics coordination, and administrative support. Key responsibilities include managing orders, preparing Bills of Lading, coordinating dispatch schedules, and processing payroll entries. Candidates should have 2+ years of relevant experience and familiarity with ERP systems, preferably JDE. The position offers a salary range of $45,000 - $55,000 plus benefits.
SUMMARY
Reporting to the General Manager, Yellowline, the Materials Coordinator supports day‑to‑day customer service and site operations administration, including documentation control (BOLs, scale tickets), coordination with dispatch/haulers, and accurate ERP entries (JDE). Partners with site supervisors and yard/plant teams to ensure timely movement of materials and excellent stakeholder communication.
PRIMARY SCOPE OF ROLE
CUSTOMER, ORDER & DOCUMENTATION MANAGEMENT
• Serve as the first point of contact for internal/external customer inquiries related to orders, deliveries, and job‑specific documentation.
• Retrieve, review, and process daily scale tickets; resolve discrepancies with scale house/operations before billing.
• Prepare and manage Bills of Lading (BOLs); verify BOLs against logistics invoices (including direct shipments) for inventory accuracy.
• Create/edit quotes, review/edit tickets in JDE prior to billing; set up new vendors and product items.
LOGISTICS & COORDINATION
• Coordinate dispatch/logistics schedules with internal teams and carriers to meet site deadlines.
• Receive and track inventory (raw materials); enter receipts in JDE based on packing slips.
ADMINISTRATIVE & OPERATIONAL SUPPORT
• Process approved hourly payroll entries for site teams and support expense reimbursements.
POSITION REQUIREMENTS
• 2+ years of experience in customer service, operations support, dispatch/logistics coordination, scale house administration, or construction/aggregate industry support roles.
• Experience working with Bills of Lading (BOLs), scale tickets, or shipping/receiving documentation.
• Prior experience using ERP systems, preferably JDE (JD Edwards), including quotes, ticket edits, inventory receipts, and vendor/product setups.
• Experience working with field/operations teams and supporting hourly payroll processes is an asset.

• Expected Base Salary: $45,000 - $55,000 per year. The actual base salary will depend on several factors including experience, qualifications, internal equity, work location and market expectations.
