Overview
The Administrative Specialist will be responsible for a variety of administrative tasks. This position is the representative of first impressions for the organization and a professional appearance and demeanor are critical. The individual is responsible for greeting customers and visitors, performing updates of plant reports in a timely and accurate manner, maintaining plant files for the various departments. The Administrative Specialist provides clerical support for all departments of the facility.

Primary Responsibilities
• Understands, follows and enforces all established safety, health, quality GMP and Company policies, procedures and recognized practices.
• Provide clerical support to all departments in the plant.
• Greet all customers and visitors in a pleasant and customer-focused attitude. Promptly answer phone system in a friendly, professional manner.
• Upload daily production reports and review them for accuracy, communicate any production entry errors to the appropriate manager and ensure that they are corrected in SAP.
• Update labor and operational trackers daily.
• Perform weekly and monthly reviews of sessions in SAP, including closing and clearing exceptions and cut-off reports.
• Reconcile 30/60/90 day open receipts and intransits. Keep blocked invoice report clear.
• Assist with HFI and inventory adjustments as needed.
• Maintain current certification of insurance for all vendors and set up new vendors in SAP.
• Order supplies, post goods receipts in SAP, and submit invoices to corporate as needed or pay approved invoices using a PCard.
• Contact vendors for repairs of all office machines as needed.
• Update activity reports for GMP audits.
• Review and reconcile open PO’s.
• Payroll processing, time & attendance tracking. Backup support to Human Resources.
• 0-25% travel may be required.

Qualifications
A High School Diploma or equivalent required. A minimum of 1 to 3 years in administration, preferably in a manufacturing environment.

Administrative Specialists are required to interact with managers, employees, vendors, and customers. Therefore, the following skills and proficiencies are also essential requirements of the position:
• Ability to maintain regular, predictable, and punctual attendance.
• Computer usage and typing skills are essential.
• Excellent verbal and written communication, including the ability to effectively communicate with internal and external customers.
• Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
• Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
