Job Description
The Logistics and Purchasing Assistant at a confidential company in Green Island, NY, supports the Logistics and Purchasing Manager in sourcing materials for custom metal and wood windows and doors. Responsibilities include procurement, logistics coordination, maintaining purchasing records, and fostering vendor relationships. The role requires strong organizational, interpersonal, and analytical skills, along with a bachelor's degree and 1-3 years of relevant experience.
The Logistics and Purchasing Assistant supports the Logistics and Purchasing Manager in sourcing, purchasing, and coordinating the delivery of all materials and consumables required for the fabrication of custom metal and wood windows and doors as well delivery of finished goods. This role involves managing logistics across land, sea, and air to ensure timely and cost-effective delivery of goods. The Logistics and Purchasing Assistant is responsible for maintaining accurate purchasing records, fostering strong vendor relationships, and ensuring that all procurement activities align with company policies, budgets, and quality standards. The position reports directly to the Logistics and Purchasing Manager, the Owner and the CFO.

Procurement and logistics of raw materials and other supplies:
· Assist in the procurement of all materials required for the fabrication of windows and doors from domestic and international vendors as well as other supplies needed for manufacturing operations and office use.
· Prepare and issue purchase orders; monitor order confirmations, deliveries, and invoice processing to ensure accuracy and timeliness.
· Obtain shipping documents from overseas suppliers. Confirm documentation and other information for customs is correct and complete. Update internal logs as necessary.
· Communicate with suppliers to resolve issues related to delivery schedules, product quality, pricing discrepancies, or terms of sale.
· Coordinate logistics for shipments via land, sea, and air to ensure on-time and cost-effective delivery.
· Perform administrative tasks including filing, recordkeeping, and correspondence with vendors and internal teams.
Logistics for finished goods:
· Coordinate delivery dates, methods of delivery and other shipping specifics with customers once projects are completed.
· Determine what type and size equipment is required for shipping (box truck, dry van, flatbed trailer, etc.)
· Obtain quotes from and issue purchase orders to shipping companies
· Generate shipping documents and review any special requirements with drivers
· Communicate with customers when shipping is underway. Provide load photos and driver information.
· Update internal logs as necessary.
· Performs other duties as assigned.

· Ability to exercise tact, courtesy, and ethics when dealing with vendors, and colleagues.
· Excellent time management skills with a proven ability to meet deadlines.
· Strong analytical and problem-solving skills.
· Proficient with Microsoft Office Suite or related software, as well as accounting software.

Required education and experience
· Bachelor’s degree preferred.
· One to 3 years’ relevant experience, preferably in logistics and purchasing.
· Valid driver’s license required.

Pay: $24.00 - $30.00 per hour
