Position Summary
Provides assistance and support to financial advisors regarding administrative tasks, client relationship management, and operations while also acting as receptionist for the branch.
Essential Duties & Responsibilities include, but are not limited to, the following:
Serves as the first point of contact for clients via phone, email and in person.
Addresses general client inquires related to account maintenance, statements, and online access.
Ensures timely and accurate processing of client requests, such as beneficiary updates, address changes, RMDs, and account transfers.
Maintains confidentiality regarding client information and adheres to compliance guidelines.
Manages calendars, appointments, and client review meetings for financial advisors.
Prepares, proofreads, and distributes reports, presentations and correspondence.
Maintains and updates client records in the firm’s CRM system to ensure data accuracy.
Handles incoming and outgoing mail, including scanning and filing important documents.
Orders office supplies and assists with office upkeep.
Processes new account paperwork and ensures completeness and compliance.
Assists in maintaining compliance records and ensures adherence to FINRA, SEC and firm policies.
Monitors client account accuracy and resolves administrative issues.
Coordinates with custodians, fund companies, and other financial institutions to process transactions and resolve client account issues.
Assists in organizing client appreciation events, webinars, and educational seminars.
Assists in managing social media updates, newsletters, and other client communication initiatives.
Compliance training is assigned to all Bank personnel based on their position with the Bank. Employees are required to complete all assigned training timely and in accordance with Bank policy.
Minimum Qualifications
Associate's degree (A.A.) or equivalent from a two-year college, business or technical school OR a minimum of two (2) years of financial advisement related experience and/or training.
