Job Description
The Operations and Administration Manager at Georgia Interfaith Power & Light will oversee administration, human resources, and finance under the Executive Director. Key responsibilities include financial strategy development, compliance, database management, and HR support. Under the supervision of the Executive Director, the Operations and Administration Manager will manage administration, human resource, and finance needs. The Operations and Administration Manager will also supervise GIPL’s accounting consultant. Specifically, the Operations and Administration Manager will have the following goals and responsibilities:
Financial Strategy, Compliance, and Performance Management:
Develop and execute financial strategies, working closely with board finance committees and the Executive Director, aligned with GIPL’s long-term goals. Ensure compliance with statutory law and financial regulations, coordinating annual audits, accurate filing of financial reports and tax documents, and GIPL’s overall charity status where GIPL operates. Oversee budgeting, forecasting, and financial reporting to maintain fiscal health.
Implement risk management strategies to safeguard organizational assets, conduct financial analysis to identify areas for improvement, continually evaluate GIPL’s cash flow, etc.
Administration:
Own GIPL’s CRM database including managing data integrity, clean records, and consistent tagging systems across programs with collaboration from the Development Manager and Communications Manager. Lead the build out of GIPL Action Fund’s C4 database infrastructure, including NGP VAN to support voter engagement and advocacy. Establish and document database protocols so staff across departments can pull accurate, usable information.
Support the development of departmental workplans in partnership with department leads, and oversee operational and financial compliance between GIPL (501(c)(3)) and GIPL Action Fund (501(c)(4)) including staff time allocation, shared expense tracking, and clear separation of C3 and C4 activities.
Human Resources and Organizational Support:
Manage all GIPL human resource related needs, including onboarding, offboarding, and staff management “issues.” Review and maintain records of all partnership agreements, contracts, lease agreements, etc. Manage projects key to supporting the overall organizational infrastructure, including the development of a new organizational/staff handbook, support yearly staff retreats, and building the infrastructure to implement a volunteer program.
Generally, the Operations and Administration Manager will have the following additional responsibilities:
Managing GIPL’s accounting consultant, including oversight for all ongoing bookkeeping and accounting, bank deposits, and both internal and external financial reporting
Assistance with budgeting (overall organization, grants, and departments) as well as preparation of cash forecast (monthly) in collaboration with GIPL’s accounting consultant
Bookkeeping and reporting updates for fiscally sponsored organizations
Preparation of financial support for Form 990 and annual audit, ongoing interaction with CPAs
Billing and collection for solar loan, and any other GIPL loan programs
Invoicing for energy audits, zero waste audits, and all other special programs and ongoing programs as expanded and needed
Review and maintain all of the organization’s overarching insurance coverage, and all governmental, organizational, and otherwise required compliance needs
Maintain relationships with banking and investment partners
Comprehensive HR, including recruiting through onboarding and personal management as needed
Payroll support, primarily for ongoing benefits
Benefits and HRIS platform administration, coordination and oversight of 401k, and any other organizational benefit programs
Review of all agreements and contracts, SoW’s, MoU’s, etc.
Manage GIPL’s registration with the state of Georgia as charity
Other tasks as assigned
Qualifications:
Passion and excitement for working on environmental issues, particularly the issues of climate change, environmental justice, clean energy, and conservation
4-6 years of non-profit, resilience, disaster preparedness, and/or congregational leadership experience
Bachelor’s degree required
Proficiency in working and organizing with and within faith communities required
