Job Description

HOK is seeking a Sustainable Design Student Intern for Summer 2025 in Anniston, AL. The role involves managing the lock and key control program, handling administrative tasks including financial record keeping, scheduling, and maintaining confidential information. Responsibilities include issuing keys, monitoring inventory, and performing routine office duties. Candidates should have a high school diploma and experience in security or law enforcement. This position is not remote.

SUMMARY

Tatitlek Federal Services, Inc. is currently recruiting for a Key Control/Administrative Officer for the Center for Domestic Preparedness, Federal Emergency Management Agency, at the former Fort McClellan, AL.

The Key Control/Administrative Officer is responsible for managing the lock and key control program, securing, accounting for, issuing, inventorying, preparing and monitoring key/lock combinations, and security code replacements and changes. Additional responsibilities are, typing, filing and scheduling, as well as, performing duties such as financial record keeping, payroll, coordination of meetings and conferences, and working on special projects. This position is responsible for receiving, maintaining, and tracking confidential and routine correspondence, composing responses, handling a variety of inquiries by telephone, in person, and in writing, as well as maintaining a variety of sensitive/confidential/proprietary information, records, and/or files.

This position reports directly to their assigned Project Manager

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Manage the lock and key control program
• Secure, account for, issue, inventory, prepare and monitor key/lock combinations, and security code replacements and changes.
• Receive, service, and account for all lock and key control items within the scope of this contract.
• Maintain lock and key control plan
• Facilitate, track/monitor, and control key duplication, proximity card issuance and remote transmitter exchanges
• Report loss or unauthorized duplication of government issued access control items
• Perform routine office duties such as filing, processing documents, record keeping, and report compilation
• Check and assemble numerical and financial information for accuracy and completeness
• Maintain accurate records
• Interact and assist others to resolve inquiries
• Respond to requests for information by sending letters, literature and other material
• Create and edit documents, forms, cards, and labels
• Use technical capabilities of work processing programs and computer equipment
• Answer telephones, deliver messages, greet visitors, prepare mass mailings, distribute reports, and run errands
• Collect and assemble information for use by others
• Order office supplies, equipment, or furnishings
• Operate or perform minor maintenance or arrange for maintenance of office equipment
• Assist implementation of cost control mechanisms to effectively monitor costs associated with contract/project operations.
• Coordinates the effort to set up, maintain, and close contract cost accounts
• Prepare monthly, quarterly, and year-end analyses of contract/project status.

NON-ESSENTIAL DUTIES AND RESPONSIBILITIES

Required Skills

Education & Experience:
• Possess a high school diploma or equivalent
• Possess the knowledge and ability to perform all required guard services duties.
• Possess experience in security or law enforcement

Requirements:
• Must be able to read, write, and speak English fluently.
• Have no felony convictions and no convictions that reflect on the individual's reliability including those crimes classified under the Lautenberg Act
• Must be 21 years of age to be armed.
• Be a citizen of the United States.
• Possess a valid state driver’s license (all positions herein may require the use of a motor vehicle).
• Possess any/all required State Security Guard licenses/permits
• Obtain/Maintain Government approval
• Must have no record or history of illegal drug use, sale, possession, or manufacture during the previous five years. Drug testing and screening may be conducted prior to hiring an employee.
• Annual drug testing may conducted.

Skills, Knowledge and Abilities
• Ability to work independently and in a team environment.
• Ability to accept and respond to new emergent and unique project task requirements.
• Ability to present ideas clearly and succinctly both in writing and verbally to co-workers, team members, internal department groups and personnel as well as outside entities to include other departments.

PHYSICAL REQUIREMENTS

THE PHYSICAL DEMANDS DESCRIBED HERE ARE REPRESENTATIVE OF THOSE THAT MUST BE MET BY AN EMPLOYEE TO SUCCESSFULLY PERFORM THE ESSENTIAL FUNCTIONS OF THIS JOB. REASONABLE ACCOMMODATIONS MAY BE MADE TO ENABLE INDIVIDUALS WITH DISABILITIES TO PERFORM THE ESSENTIAL FUNCTIONS.
• Shall be free from any communicable disease.
• 20/30 vision while using both eyes (may use corrective lenses or surgical correction); capable, in at least one eye, of reading a minimum of Jaegar Number 2 or equivalent type and size letter at a distance of no less than twelve (12) inches on a standard Jaegar chart; normal color vision; and no peripheral vision deficits, night blindness, or visual conditions that may prevent successful task performance.
• Shall be capable of hearing ordinary conversation at 20 feet without benefit of artificial hearing devices

WORK ENVIRONMENT
• Work is typically performed in both an uncontrolled and controlled environment; as such, while performing the duties of this job, the employee may be exposed to weather conditions prevalent at the time.
• The noise level in the work environment is usually moderate.

ADDITIONAL QUALIFYING FACTORS:

As a condition of employment, must pass a pre-employment drug screening, as well as have acceptable reference and background check results.

In accordance with Executive Order 14042, a candidate for this position may be required to provide proof of vaccination status for COVID-19 and will be subject to the provisions and/or exceptions of EO 14042 and applicable law.
