Job Description

The Resiliency Project Coordinator at the Massachusetts Bay Transportation Authority will support procurement, contract administration, and project delivery within the Environmental Department. Responsibilities include managing climate resiliency projects, tracking spending, maintaining databases, and coordinating communications with consultants and other departments. The role requires independent work in a time-sensitive environment and regular visits to MBTA facilities to build relationships and manage tasks.
The Resiliency Project Coordinator within the MBTA’s Department of Energy and Environment will work closely with MBTA staff within the Environmental Department to support professional services procurement, contract administration processes, project delivery, communications with consultants, and track projects as well as milestones. This is a key position that will assist the MBTA in meeting its regulatory commitments and obligations under EO 569, and work towards addressing the agency’s strategic goals of making transit service more resilient to disruptions from climate change.
• Support Mitigation & Resilience-specific projects:
• Assist in the procurement of professional services (RFP/RFQ) for climate resiliency projects, primarily in Architectural & Engineering, and supports other climate projects as needed.
• Set up projects in the MBTA’s Capital Projects Platform (including requesting work orders; filing paperwork for task orders; requesting time extensions).
• Work with project managers, track task order spending; pay invoices.
• Create and maintain project databases and report out on assigned projects.
• Prepare project-related correspondence, reports, charts, and presentations using Microsoft Word, Excel, and PowerPoint.
• Assist project tasks with other Departments, including Capital Program Oversight (administration & finance), MBTA Engineering, Engineering & Maintenance, Railroad Operations, Capital Program Planning, etc., as required.
• Work independently to address complex tasks in a time-sensitive environment.
• Follow-up on actions required for task completion while seeking guidance as necessary.
• Coordinate program activities:
• Regularly communicate with both MBTA staff in other departments and consultants.
• Organize and schedule team meetings and take notes.
• Organize and schedule site visits to MBTA facilities including making Right of Way Access requests and requesting Engineering & Maintenance support as necessary.
• Visit MBTA facilities on a routine basis to build and maintain relationships with MBTA staff at facilities and those who manage different parts of the MBTA’s infrastructure.
• Organize and schedule external stakeholder meetings or other cross-department meetings.
• Participate, as needed, in external stakeholder meetings with other state agencies, non-profits, regional planning organizations: especially those pertaining to climate data.
• Maintain Right-Of-Way and all other relevant safety certifications.
• Respond to each inquiry, whether from a customer, vendor or co-worker in a courteous and professional manner consistent with the Authority’s “Driven by Customer Service” quality standard.
• Work any and all shifts as assigned or directed
• Uphold the rights and interests of the Authority while building and maintaining an effective relationship with employees
• Assist in the management of a workforce by ensuring the fair and consistent application and strict adherence to the rules, regulations, collective bargaining agreements (if applicable) and policies of the Authority including the EEO, Anti-Discrimination and Anti-Harassment and Anti-Retaliation policies.
• Perform all other duties and projects that may be assigned.
• Bachelor’s degree from an accredited institution.
• Two (2) years of experience in project administration or coordination duties.
• Knowledge of applicable State and Federal Regulations for infrastructure and operations specifically to resiliency and energy.
• Proficiency with Microsoft Word, Excel, Database and PowerPoint.
• Effective professional written and communication skills.
• Excellent organizational, analytical, confidentiality, multi-tasking, time management, and interpersonal skills.
• The ability to effectively communicate with customers, employees and vendors.
• Excellent customer service skills.
• The ability to work effectively with a diverse workforce.
• English language skills required for the effective performance of the position.
• Ability to provide internal and external customers with courteous and professional experiences.
• Ability to work effectively independently and as part of a team (or supervise, if required).
• A High School Diploma or GED with an additional seven (7) years of directly related experience substitutes for the bachelor’s degree requirement.
• An associate degree from an accredited institution with an additional three (3) years of directly related experience substitutes for the bachelor’s degree requirement.
• A master’s degree in a related subject substitute for two (2) years of general experience.
• A nationally recognized certification, or statewide/professional certification in a related field substitutes for one year of experience.

Preferred Experience and Skills
• Proficiency in Adobe programs and products such as Photoshop, InDesign, Illustrator, and other visualization software.
• Familiarity with ENVISION and LEED certifications.
