Job Description
Ledgent Tech is hiring a Project Coordinator for a 12+ month contract in Burbank, CA. The role involves supporting Creative Operations in the Publishing department by managing submission approvals, coordinating communication among teams, and assisting with administrative tasks. Candidates should have 2+ years of project coordination experience, preferably in entertainment or publishing, and knowledge of Adobe Creative Suite. The position is hybrid, requiring some in-office presence.
Project Coordinator
Duration: 12+ months, Contract, W-2 (Possible Temp to Hire)
Pay $31.33/hour
Location: Hybrid in Glendale
Support Creative Operations within the Publishing department by coordinating submission approvals and administrative functions for global licensee products. Act as a key liaison ensuring streamlined communication and integration of work across the company's Live Entertainment teams throughout all project phases, from creative development through production and delivery.
Key Responsibilities:
· Facilitate approvals on creative submissions and assets for print and digital publications using internal approval software to route materials, gather feedback, and communicate with licensees.
· Review submissions to ensure clarity, coherence, and that all questions are addressed.
· Establish and maintain strong working relationships with Publishing creative reviewers and internal teams to expedite material reviews and secure necessary approvals.
· Support global licensees with branding, art, and editorial guidelines, and manage asset distribution (logos, concept art, final frames) via BOX and internal publishing servers.
· Assist project managers with administrative tasks (downloading/filing/distributing assets, updating project documents, pulling reports, and creating tracking sheets/maintaining dashboards)
· Schedule and coordinate meetings, including taking and distributing meeting minutes
· Coordinate and integrate project information with internal and external stakeholders including creative/design studios, operations teams, municipalities, vendors, and contractors.
· Lead and document team discussions including brainstorming, design reviews, and peer reviews to ensure scope aligns with budget and goals.
· Provide consistent project communication with the Production Manager to ensure team integration, schedule alignment, and effective resource planning.
· Compile, validate, and reconcile project documentation using appropriate file management systems.
· Prepare and present project status updates to executive leadership, exercising sound judgment and discretion.
· Keep all project management tools, dashboards, and status reports up to date.
· Support vendor engagement processes, including assisting with bid package preparation in coordination with Sourcing and Procurement.
· Manage and update project travel logistics, including authorizations, itineraries, and communications.
· Make day-to-day planning decisions and help drive project strategy development, scope documentation, and deliverables tracking.
Qualifications:
· 2+ years of experience in project coordination, preferably in entertainment, publishing, or product development (internships considered). Must provide examples of managed projects.
· Experience in submission routing and asset retrieval within a publishing or licensing environment.
· Knowledge of Adobe Creative Suite (Photoshop, InDesign, Illustrator) and Microsoft Word/Excel.
· Mac OS proficiency
· Experience with licensing processes and systems is highly desirable.
· Familiarity and interest in live entertainment, themed entertainment, immersive experiences, and/or theater.
