Job Description

The Environmental Defense Fund is hiring a Program Coordinator for the Office of the Chief Scientist, responsible for programmatic and administrative support. Key tasks include project tracking, scheduling, managing contracts and invoicing, and organizing events. The role requires collaboration, independent judgment, and strong organizational skills. This is a 2-year fixed term position with full benefits, and it can be performed remotely or from various specified locations.

Program Overview

The Office of the Chief Scientist (OCS) is the nexus of science at EDF, ensuring that all EDF positions are based on the best available natural and social science. OCS leads EDF’s exploration of emerging issues, pioneers’ new projects, provides programmatic support for all scientists at EDF and fosters relationships with scientists outside the organization.

Overall Function

Environmental Defense Fund is seeking a Program Coordinator who will provide key programmatic and administrative support to OCS. The Program Coordinator will work on tasks related to project tracking, scheduling, contracts/invoicing, communications, and meeting/event planning. This role is part of the larger operational team within OCS. The Program Coordinator reports to the Manager, OCS Operations and works closely in a team environment within OCS.

Close collaboration and independent judgment are required to help plan, prioritize, organize and execute the workload within this busy program. This is an excellent opportunity to develop core organizational, communications and project management skills and provide vital operational support to advance environmental and public health goals.

Term: This is a 2-year fixed term position with full benefits and opportunity for extension.

Key Responsibilities
• Draft and execute contracts for consultants or other vendors, and help track progress on all contract execution, payment and termination.
• Process expense reports and submit program-related invoices.
• Schedule and manage logistics for expert workshops, program retreats, project meetings, webinars, conference calls, and other events, including managing schedules, reserving meeting spaces, arranging catering, travel and hotel accommodations for meeting participants, setting up virtual calls, and performing other tasks as needed.
• Maintain well-organized and accessible files for the OCS team.
• Participate in advancing EDF’s organizational effectiveness and culture goals, in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges aligned with EDF values.
• Build program engagement and connections by maintaining the All OCS and All Scientist email listservs, updating the organizational chart, managing the OCS Zoom account, and managing the peer-reviewed publications database.
• Apply excellent organizational, communication and planning skills in preparing written products and communications, documenting and tracking key takeaways and next steps from meetings, responding to and eliciting requests for information, managing several shared email inboxes, and helping coordinate and track activities among staff members.
• Support one or more OCS teams with operational tasks as outlined above.
• Perform additional relevant responsibilities as assigned.

Qualifications
• Associate degree or equivalent with at least 3 years of relevant work experience in fast-paced, administrative, detail-oriented environment, or a bachelor’s degree or equivalent with at least 1 year of relevant experience.
• Demonstrated self-awareness, cultural competency, inclusivity, and ability to work with colleagues and stakeholders across all cultures and backgrounds.
• Excellent organizational and administrative abilities and meticulous attention to detail.
• Ability to work independently and to prioritize and handle diverse, simultaneous tasks under pressure.
• Excellent oral and written communication skills.
• Proficiency in the use of IBM PCs and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.).
• Experience with Asana or other project management platforms highly preferred.
• Interest in environmental advocacy is a plus.
• Ability to coordinate with global teams working in different time zones.
• Willingness and ability to occasionally travel domestically and internationally.
