Role Description
The Outage Site Administrator is a newly created opportunity based at our Pinjar Power Station.
The Outage Site Administrator is responsible for the administrative support functions associated with mobilisation of outage teams and document management.
As part of the outage team this role is responsible for maintaining accurate, up to date and accessible documentation associated with the outage and for effective distribution of administrative based information to relevant stakeholders.
Job Responsibilities
• Maintain outage contractor resourcing documentation and filed into document management system.
• Ensure all induction correspondence including links, instructions and communications with site security is completed for each person prior to site access authorisation and mobilisation.
• Maintain site access and vehicle access documentation including tracking of requests, processing requests and authorisations and maintain meeting room bookings, authorisations and coordinate event bookings as required.
• Maintain all administrative responsibilities concerning outage registers and data bases including but not limited to distribution lists and registers, financial tracker, change scope/emergent work register, site instructions register, service entry sheets, time confirmation sheets and reward and recognition register.
• Monitor invoice accuracy and values, perform DM entries, and communicate discrepancies or limits to relevant Outage leader and Outage Planner.
What You Will Bring
• High level administrative skills including advanced skills across the full suite of office programs including word, excel and power point.
• High level of proficiency in document management (DM) and data management.
• Minimum 3 years’ relevant experience performing a variety of outage/shut down related administrative tasks in a fast-paced work environment.
• Track record of being able to influence and establish credibility across an organisation.
• Well-developed interpersonal skills including the ability to maintain positive working relationships.
