Office Administrator

The Office Administrator at Climate Action and Energy Access in Islamabad, Pakistan, will support daily operations through administrative tasks, office management, and logistics. Responsibilities include maintaining supplies, managing records, coordinating meetings, assisting with procurement, and providing general support. The Admin Officer will be responsible for supporting the smooth day-to-day operations of CAEA’s office. This role involves administrative coordination, office management, and support with procurement, logistics, and recordkeeping. The ideal candidate is detail-oriented, organized, and proactive.

Responsibilities
• Maintain office supplies, equipment, and inventory records
• Manage office cleanliness, utilities, and repairs coordination
• Handle filing (digital and hardcopy) of official documents, including contracts, receipts, and invoices
• Coordinate logistics for meetings, events, and workshops
• Support procurement by collecting quotations, preparing comparison sheets, and maintaining vendor records
• Assist in preparing and maintaining petty cash and expense records
• Liaise with vendors, service providers, and maintenance staff
• Assist team with printing, scanning, and material preparation for public events
• Ensure visitors and guests are received and attended to appropriately
• Provide general administrative support to CAEA staff and partners

Qualifications
• Strong management skills
• Strong organizational and communication skills
• Ability to multitask and take initiative
• Basic knowledge of MS Office (Word, Excel) and Google Workspace
