Job Description

Total Climate Control is seeking an HVAC Installation Coordinator in Concord, NH. The role involves managing HVAC installation projects, scheduling appointments, and ensuring customer satisfaction. Responsibilities include dispatching technicians, coordinating materials, and handling invoicing. Ideal candidates should possess strong organizational and customer service skills. The position offers stability, benefits, and competitive pay of $25-30/hr. This is not a remote job.

What We Do

Pay: $25-30/hr

Responsibilities:

· Be the main Point of Contact for all open and ongoing Installation projects

· Manage all aspects of HVAC Installations:

o Schedule HVAC installation appointments with customers and handle reschedules accordingly

o Proactively communicate with customers on the progress of their project, including any changes to the agreed scope of work

o Dispatch for Measurements, Installation, and Startup

o Ensure job materials and equipment staged are complete, including any Customer paperwork that will need a signature

o Secure necessary Permits

o Prepare scope of work for subcontractors when required

o Dispatch the Install techs to complete the installation

o Support the Install Techs by answering questions and helping them be successful

o Prepare Invoices and arrange customer payment via check, card, or financing

o Assist in pre and post-installation customer concerns as needed

o Ensure the appropriate CostCo workflows are followed for compliance with their program

· Purchasing and Materials Management

o Prepare PO’s from BOM provided by the Install Manager

o Add, Edit, and Update Materials and Equipment in the Prive Book for accuracy

o Coordinate the scheduling of materials, equipment, subcontractors, permits, and other items needed to complete Installation projects in an efficient manner

o Assist Warehouse Manager with establishing the SKU and quantities of materials to maintain in stock based on usage, pricing, and availability

· Review and confirm accuracy of Job Costing for each installation project

o Ensure Materials and Equipment are added to the job

o Ensure Timesheets for Techs are accurate and complete

o Complete and process paperwork and online forms such as equipment registrations, installation completion forms, warranties, permits, etc.

· Assist Install Manager with other duties and ad hoc projects as assigned

· Desire to improve processes and procedures to realize efficiencies and improve how we support our customers and employees

Reporting:

This position reports to the Install Manager. You will coordinate the schedules of ~12 Installation Techs and you will have the support of the Warehouse Manager for physical movement of materials and equipment in and out of the warehouse.

Desired Skills:

· Detail oriented

· Comfortable with Technology, including working while we transition to a paperless environment

· Comfortable with changes in priorities, overcoming obstacles, and finding solutions

· Comfortable with using a computer, including Outlook, Excel, and Word

· Familiar with a desire to learn and use Service Titan

· Ability to follow processes and procedures that integrate with other areas of the business

· Stellar time management skills and ability to multi-task

· Ability to complete tasks in a timely manner, overcome obstacles, and deliver results

· Strong Communication skills, both written and verbal

· Ability to maintain confidentiality

· Analytical and problem-solving skills

· Mindset for Continuous learning

Qualifications:

· Desire to see projects and tasks to completion

· Nice person who has a positive attitude

· Ability and desire to learn the details of materials and equipment related to HVAC Installations

· Task Oriented work ethic

· Effective working with Customers and Installation Technicians

· Service Titan experience is a Plus

· Applicable work experience in a professional environment
