Job Description
Sustainable Solutions Corporation is seeking an Executive Assistant to support the Co-Founder & President in Royersford, PA. This in-office role requires strong organizational skills to manage calendars, assist with sales processes, handle communications, and coordinate travel. Candidates should have 3+ years of relevant experience, proficiency in Microsoft Office, and a solid understanding of sales and CRM systems. The position offers benefits including health coverage and a 401k match.
WHAT WE ARE LOOKING FOR
As the Executive Administrative Assistant, for Sustainable Solutions Corporation (SSC) you will work closely with the Co-Founder & President to streamline operations, manage his time effectively, and ensure sales processes run smoothly.
This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment.
This in office role, requiring you to work out of our Royersford office 4 days a week.
What you are accountable for:
Calendar & Scheduling Management:
• Manage and coordinate his complex calendar, including scheduling meetings, supporting travel and speaking arrangements, prioritizing appointments, and ensuring availability for key business needs.
• Proactively address scheduling conflicts and ensure efficient time management.
• Coordinate internal and external meetings, including preparation and follow-ups.
Sales Administrative Support:
• Assist with sales pipeline tracking, Zoho updates, and maintaining accurate client and prospect records.
• Prepare sales reports, proposals, and presentations as needed.
• Facilitate communication with clients and prospects, ensuring timely follow-ups.
• Collaborate with the sales team to ensure he has the necessary information and materials for client interactions.
Communication & Correspondence:
• Act as the primary point of contact for his communications, handling emails, calls, and messages.
• Draft, proofread, and send professional correspondence on behalf of him.
• Liaise with internal teams and external stakeholders to communicate priorities and updates effectively.
Travel Coordination:
• Plan and coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
Administrative Tasks:
• Manage expense reports and reimbursements.
• Organize and maintain files, documents, and records.
• Handle special projects and tasks as assigned by him to support him and other departments.
What we are looking for:
• 3+ years of proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior executives.
• Exceptional organizational and time-management skills.
• Strong understanding of sales processes and familiarity with CRM systems (e.g., Zoho).
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other collaboration tools (e.g., Teams).
• Excellent verbal and written communication skills.
• Ability to maintain discretion and confidentiality.
• A proactive problem solver with a high level of emotional intelligence and adaptability.
