About the Role
As a Defects Coordinator, you will play a pivotal role in ensuring a positive and seamless experience for customers throughout the various stages of projects, from settlement to the end of the warranty period. You will be the first point of contact for clients, managing inquiries, coordinating inspections, and ensuring that all customer needs are met with professionalism and efficiency. Additionally, you’ll be responsible for the administration and compliance aspects of the Client Care Department, supporting the team to maintain high standards in reporting, data management, and project documentation.
Key Responsibilities
• Provide exceptional customer service and support to the Client Care Department.
• Engage with customers during key project phases, including settlement, 90-day follow-ups, and the warranty period.
• Organize and manage customer inspections, maintain profiles on internal systems, and coordinate with strata and building managers.
• Collect testimonials and feedback, and arrange welcome gifts for new property owners.
• Oversee the defects process, liaising with trades and suppliers to ensure completion of work.
• Support the Client Services Manager in administrative tasks, including data management, reporting, and quality system improvement.
• Handle project finances, including payment approvals, invoicing, and managing subcontractor payments using construction-specific accounting software.
• Maintain records of inventory and equipment, and assist in tracking staff rosters and timesheets.
• Ensure compliance with company policies and legislative requirements, contributing to a positive company culture.
What We're Looking For
We are seeking a candidate with a passion for customer service and a background in construction or related fields. You should be an effective communicator with a knack for problem-solving and handling multiple tasks in a fast-paced environment.
Qualifications & Experience
• Excellent written and verbal communication skills.
• Knowledge of construction processes and industry practices.
• Previous experience in a customer service or administration role, ideally within construction.
• Familiarity with construction software such as Viewpoint, Jobpac, or Procore is desirable.
• Competence in Microsoft Office Suite.
