Job Description

Climate Pros, LLC is seeking a Construction Coordinator in Glendale Heights, IL. The role involves contract and subcontract administration, project revenue and cost tracking, and assisting Construction Managers with documentation and project accounting. Key responsibilities include managing contracts, change orders, cost management, and maintaining documentation records. Candidates should have a high school diploma, 3-5 years of construction coordination experience, and strong organizational and communication skills.
Job Summary

The Construction Coordinator is responsible for all contract and subcontract administration, including project revenue and cost tracking. In a team-based environment, the Construction Coordinator will assist the Construction Managers with contract management, cost management, and documentation record keeping for all assigned projects. Substantial project accounting duties involved.

Duties and Responsibilities:

Contract Management:
• Assist the Construction Management Team with tracking all project documentation, including:
• Weekly Bid Imports into FJX
• New Contract Setup Submittals & Checklist
• FJX Contract and Job Setup
• Project-specific Certificates of Insurance
• Labor Rate Sheets
• Worker Verification/Site Badging Forms
• Change Request Compilation and Submittals

Change Order Management
• Monthly Pay Applications and Lien Waivers
• Monthly FJX Invoice creations and job cost verification
• Accounts Receivable follow up
• Contract Closeout Submittals
• Issuing AIA Subcontracts
• Processing AIA Change Requests and Change Orders
• Coordinating Construction Manager's approval for Subcontractor Invoices
• Request Subcontractor Invoices monthly for work performed
• Reviewing and Releasing Subcontractor's payments weekly
• Requesting and Maintaining waiver requests and check releases

Cost Management:
• Fulfilling purchase order requests for installation materials
• Scheduling and tracking of all site requirement orders/rentals
• Maintaining FJX's open purchase order board, including:
• Requesting missing vendor invoices for open POs
• Updating purchasing orders with detailed costs
• Following through with open purchase order to completion
• Monitoring of complete project costs
• Weekly review of project status with Construction Managers
• Perform other related duties as required and assigned

Contract Documentation Record Keeping:
• Creating and maintaining all bid and contract SharePoint files
• Maintaining correct job details within FJX
• Project Start/End Dates
• Contract and Job Statuses
• Upkeep of current contract notes
• Project Manager / Estimator / JR PM contract updates
• Maintaining all original, fully executed paper documentation, including
• Executed Contracts & Change Orders
• Executed Subcontracts, Change Orders & Lien Waivers

Desired Skills, Certifications, and Education:
• High School Diploma/ GED
• 3-5 years of related construction coordination experience
• Computer knowledge must include MS Office- Word, Excel, and Outlook
• Strong attention to detail, mathematics, and the ability to produce accurate work.
• Ability to communicate effectively and work productively with others.
• Ability to prioritize and manage multiple priorities and deadlines.
• Must be reliable, with a positive professional attitude.
• Excellent oral and written communication skills
• Experience managing and prioritizing multiple projects
• Strong organizational skills
• Self-sufficient and able to work with little direct supervision
• Be an honest team player, growth-oriented, and able to do whatever it takes safely!

Physical Requirements and Working Conditions:

Regularly required to sit; occasionally required to stand; walk; occasionally lift and move up to 10 pounds; noise level is usually quiet.
