This role involves providing event support, ensuring exceptional customer service, coordinating logistics for culinary events, and leading onsite execution. Events Coordinator

Urban Element is a boutique caterer and culinary event management company focused on creating and delivering exceptional culinary experiences. We are a close-knit team, who value collaboration, creativity and teamwork.

We are seeking an experienced, organized and self-motivated individual to provide event support to our sales team in the capacity of an Events Coordinator, for a one-year contract.

In this role, responsibilities will revolve around these key areas:

· Customer Service/Client Care – exceeding client expectations in all areas of customer service delivery through exceptional communications and expertise

· Administrative Excellence– organizing logistics for all culinary events in a detailed oriented manner, ensuring team members have the resources they require and are clearly communicated to; scheduling and fiduciary duties

· Proactive Onsite Event Leadership & Teamwork – superior event leadership, event execution and delegation

Key Responsibilities:

· Communicate and collaborate with clients to understand and fulfill their event objectives, and requirements; maintain a high level of customer service/customer care and build sound relationships with clients

· Coordinate all logistics required for events, including: menus, staffing, rentals, beverages, audio-visual, décor, timelines, etc.

· Communicate professionally with all company vendors, company partners, collaborators and affiliates

· Coordinate all event logistics internally with core team including Event Orders (EO’s), and maintain detailed and accurate up to date client files

· Oversee onsite event set up, event execution and tear-down, work in conjunction with event team

· Post event, finalize invoices, collecting payment and feedback from clients

· Participate in weekly team meetings, communicate updates, changes, and troubleshoot in advance

· Schedule event staff on a monthly (and beyond) basis

· Maintain and collaborate on internal systems and processes which include inventory management on event supplies, overseeing the front of house inventory, organizing packs and unpacks for jobs

Abilities, Skills, Qualifications:

· Hospitality-driven, people centric, solution oriented, relationship driven

· Self-motivated: Ability to work independently and as a part of a team

· Strong communication, customer service and organizational skills with the ability to prioritize tasks, and plan for contingencies (solution provider)

· Post-secondary education in field, ideally in hospitality, or event management combined with at minimum 5+ years working directly in the field (catering, events, etc.)

· Proficiency in all Microsoft applications, highly skilled in administrative functions, sound ability to multi-task and prioritize tasks in peak work periods

· Ability to work a variety of hours, based on event needs, which includes or can include: holidays, weekends, evenings

Job Type: Fixed term contract
Contract length: 12 months

Pay: $54,000.00-$60,000.00 per year
