Description:

The Administrative Specialist will oversee daily office operations, handling calls, emails, and visitor support. Responsibilities include coordinating travel, managing supplies, assisting with onboarding, and supporting administrative tasks. Ideal candidates have a college degree, 1-2 years of administrative experience, and proficiency in SAP and Microsoft Suite, preferably in a multinational manufacturing environment.

Responsibilities:
• Manage incoming calls, emails, and correspondence, ensuring prompt responses and redirection to appropriate personnel.
• Support visitors to the site, providing a friendly and professional office environment.
• Assist in completing the administrative work of the factory and ensure smooth office functions, coordinating administrative tasks, and assisting with office-related needs.
• Support the transition to a new office space, including coordinating logistics, assisting with office setup, and ensuring a smooth move-in process.
• Run reports and create slide decks.
• Responsible for arranging business travel, coordinating meeting arrangements, and tracking expenses.
• Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
• Assist with onboarding new employees, including preparation of office space and administrative setup.
• Handle mail distribution, shipping, and receiving of packages.
• Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
• Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
• Provides information by answering questions and requests.
• Complete other tasks assigned by superiors.

Qualifications and Experience:
• College degree or above, human resources, psychology and other related majors are preferred.
• Working experience in personnel administration.
• 6+ months of experience in multinational manufacturing enterprises.
• SAP, Microsoft Suite, Outlook Experience Preferred.
• Good sense of responsibility, proactive, good at communication.
• Strong pressure resistance.
