Job Description

Nanyang Technological University is seeking a Head for its Events Office in Singapore. The role involves overseeing a team to strategically plan and execute high-profile events, optimizing resources and costs, and ensuring alignment with university objectives. Key responsibilities include developing event strategies, managing performance metrics, coaching staff, and implementing effective communication and operational policies. The Head, Events Office plays an integral role in overseeing and managing a team of event professionals in the strategic planning and successful execution of all high-profile events at University, College and School / Department level, maximizing impact to achieve the desired outcomes of the University. Job Description Define and develop the strategic plan for Events Office including key objectives, opportunities and measurable KPIs Leverage resources across the University, determining the core team and variable resources needed for each event; and review staffing levels to ensure that service expectations and operational needs are met Adopt full costing model for all events organized and optimize costs through demand aggregation procurement to minimize wastage, generate savings and drive accountability for delivery of events-related services across the University Perform regular review of the Events Office model to drive greater efficiency, smarter work practices and effective resources allocation Work with stakeholders to define strategic goals and key performance indicators for each event including developing success measures and evaluating performance against objectives to deliver desired outcomes and implement organizational changes where necessary Coach, mentor and lead cross-functional events team to ensure high staff engagement and strong performance in achieving deliverables and all associated event goals / metrics, promoting team synergy and building positive team spirit Develop appropriate communications plan including event details, pertinent highlights, budget and other key issues Develop general event management policies, guiding principles and standard operating procedures for proper execution of events Requirements University graduate with at least 10 years of experience in planning and organizing successful large-scale and high-profile events Visionary and inspiring, demonstrating passion in achieving business success and high levels of emotional and cultural intelligence Possess excellent understanding of the role, value, impact and contributions of the Events Office toward the University’s overall mission and objectives Demonstrate strong and creative leadership with entrepreneurial skills, high level of ownership, an eye for details and commitment to achieve and maintain the highest standards Articulate, forward-looking and high energy individual with strong ethical standards, professional image, sound judgement and impeccable writing skills Strategic people leader with experience working in a matrixed organization and cultivating strong relationships with teams and leaders throughout the university, demonstrating finesse when interacting with senior authority and ability to deal with people at all levels effectively in complex and demanding circumstances Exceptional project management skills with ability to multi-task and manage extremely tight timelines in a fast-paced environment Possess strong financial management skills including budgeting, forecasting and analysis, to develop projected expenditure and track performance against event budget Excellent understanding of the latest event technologies to be deployed including the use of integrated digital and social media pre-event and on-site communications Build high performing teams, developing and empowering staff to define key success metrics as well as drive efficiencies and process improvements toward achieving those metrics as part of the overall events Hiring Institution: NTU A research-intensive public university, Nanyang Technological University, Singapore (NTU Singapore) has 33,000 undergraduate and postgraduate students in the Engineering, Business, Science, Humanities, Arts, & Social Sciences, and Graduate colleges.
