Job Description

The Woodwell Climate Research Center is seeking an Executive Assistant to support the President & CEO. This on-site role involves managing schedules, preparing meeting materials, and providing confidential administrative support. Key responsibilities include taking minutes at meetings, handling communications, and assisting with special projects. Candidates should have prior executive-level administrative experience, strong organizational skills, and proficiency in Microsoft Office and Google Workplace.

Summary

Join the Woodwell's President's Office team as an Executive Assistant (EA) and provide comprehensive support to the President & Chief Executive Officer (CEO). As a vital member of the team, the EA will manage executive and administrative support related tasks and use sound judgment and discretion to ensure the alignment of activities with strategic goals and priorities are met. This fully on-site position is a member of the President's Office and will report our President and CEO.

Responsibilities include, but not limited to:
• Provide confidential administrative support for the President & CEO
• Manage complex calendars, including schedules meetings, appointments, and travel arrangements
• Prepare meeting materials, including agendas, briefings, and notes to support President & CEO appointments and events
• Maintain a high level of confidentiality and exercise discretion in every day work
• Take minutes at senior management and operations meetings as assigned
• Respond to emails and phone calls on behalf of the CEO where deemed appropriate
• May represent the interests of the CEO in internal meetings
• Receive and manage President's Office guests
• Assist with special projects and/or other functions to support the President & CEO
• Provide confidential Board management and logistics support, including preparation and assembly of board and committee meeting materials
• Staff onsite and offsite Board meetings
• Take minutes at Board meetings and committee meetings as needed
• Maintain organizational systems, including filing and expense tracking
• Support special projects for President's Office
• Provide backup staffing at central reception area when necessary

Must have the following knowledge, skills and abilities:
• Prior administrative support, preferably at an executive level
• Exceptional attention to detail and organizational skills and the ability to prioritize tasks efficiently and reliably in a fast paced environment
• Resourceful, proactive and efficient, with a high level of professionalism, discretion and confidentiality
• Strong interpersonal, customer service and problem-solving skills and the ability to interact with all levels of management
• Expert level communication skills, strong problem-solving skills and high emotional intelligence are vital for this position
• Excellent written and verbal communication skills
• Advanced knowledge of Microsoft Word, Microsoft Excel, and/or Google Workplace with the ability to work on PC and Mac platforms and the ability to learn new software applications
• Outstanding work ethic
• Ability to multi-task, think critically, anticipating any internal or external issues that may arise
• Some evening and weekend work related to special events and meetings may be required
• Willing and able to work onsite, with some flexibility

Qualifications:
• 5+ years of professional relevant experience
• Bachelors degree or equivalent

Physical Requirements:

In the office:
• Ability to tolerate sustained periods of walking, standing, sitting
• Ability to lift 25 pounds
• Ability to communicate
• Ability to kneel, bend, and carry items
• Ability to use phone and computers
• Repetitive movements
• Air, train, vehicle travel to attend meetings/event

In the field, the physical requirements of this role include:
• Air, train, vehicle travel to access field locations
• Driving a vehicle or ATV to access field locations
• Walking, hiking, climbing to access field locations
• Paddling, canoeing to access field locations
• Standing and sitting for sustained periods
• Frequent bending, squatting, and kneeling
• Reaching overhead
• Climbing ladders
• Use of manual and power tools including shovels, saws, drills, and hammers
• Ability to lift up to 25lbs up to 10 times/day
• Ability to carry up to 25lbs up to 10 times/day
• Ability to push/pull up to 25lbs up to 10 times/day

Classification and Compensation: This is a full-time, salaried, exempt position, the annual salary range starting at $70,000 + dependent on qualifications/experience. Woodwell offers a generous benefits package and work life balance.
