Job Description

Federation University Australia is seeking a full-time Executive Assistant to provide administrative support to the Vice-Chancellor's Office in Ballarat, VIC. Responsibilities include managing schedules, coordinating meetings, and preparing documents. The role requires strong organizational and communication skills, along with experience working with senior executives. The position offers a salary of A$88,421 plus superannuation, with applications closing on March 23, 2025.

About the role

You will provide outstanding professional administrative and operational support to members of the Vice-Chancellor’s Senior Team including the provision of high quality executive and administrative support. You will also oversee effective and efficient operations liaising with a range of internal and external stakeholders.

You will:
• manage diary and appointment schedules and travel arrangements;
• work collaboratively with stakeholders to ensure the effective coordination of internal and external meetings, events and communications;
• prepare documents such as reports, presentations, briefing papers and correspondence; and
• act as Executive Officer to various meetings and to ad-hoc project groups and committees, as required.

About you

Reporting to the Senior Manager, Executive Services in the VCO, the EA will work collaboratively in a shared services model with other EAs and members of the VCO. You will have extensive demonstrated administrative experience working with senior executives and ability to work in a team.

You will possess:
• highly developed planning and organisation skills with experience managing concurrent complex tasks, establishing priorities, allocating resources and meeting deadlines;
• ability to be proactive, utilise initiative and discretion and make decisions where appropriate;
• demonstrated interpersonal and verbal and written communication skills;
• demonstrated organisational skills in providing a high level of customer service, managing time effectively while maximising productivity and working collaboratively in a team.
