ERM is seeking a highly motivated Associate, Project Coordinator to join our team in Indianapolis, IN to provide high quality administrative and project support for our Atlantic Central Business Unit .

We are seeking an organized administrative professional to apply self-initiative, positive team attitude, technical quality, and creativity, to support our Project Management Teams.

As a highly resourceful team player, who’s comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient, this individual needs to have the ability to exercise good judgment in a variety of situations, pay attention to detail, support the project teams with strong written and verbal communication, maintain administrative and organizational skills, and balance multiple priorities.

RESPONSIBILITIES:
• Provide invoice reviews and support to Project Managers to track down expenses and verify expenses for client project work.
• Support technical writing and grammar reviews for client deliverables and providing comments back to Project Managers for readability, parallel construction of concepts, work usage, acronyms, etc.
• Format client deliverables to the ERM standard format.
• Perform data entry support for Project work including (Transferring field data into forms, etc.)
• Support document appendix assembly and scanning of subcontractor supplied documents and manifests.
• Assemble client deliverables into one document using Adobe Acrobat DC.
• Capable in MS Word / MS Excel / PowerPoint / MS Project
• Liaise with ERM’s Information Technology (IT) team to maintain conference room equipment video conferencing equipment.
• Support Project Managers with project folder setup and local area network folder structures and viewing permissions.
• Support new employee onboarding through familiarization with the production room equipment, communications (Teams), training information, timesheet entry, and intranet navigation.
• Maintain office environment through actions such as
• Working with property management for miscellaneous issues related to office HVAC, water, lighting, etc. Maintain welfare supplies, snacks, safety products, and office supplies.
• Support regional administrative team activities and participate in meetings.
• Assist with conference and client meeting setup and arrangements and lunches.
• Support employee engagement activities (Happy hours, lunches, events).
• Coordinate meetings, including sending meeting invites and keeping relevant record and correspondence for events; assist in setting up videoconferences, WebExs and Teleconferences for office meetings.

QUALIFICATIONS:
• 0+ years of working experience in professional services or corporate organizations supporting fast-paced executives.
• Excellent organization, time management, verbal and written communication skills with an emphasis on confidentiality, good professional judgement, and the confidence to articulate effectively.
• Demonstrated ability to manage/coordinate multiple projects and successfully prioritize multiple tasks with good judgment, initiative, and follow-through. High confidence level in addressing unplanned or short-notice issues that require sound judgment and limited direction.
• Proven ability to produce accurate, high-quality work in a fast-paced work environment, as well as to work under pressure efficiently with rapidly changing priorities.
• Advanced proficiency in Microsoft Office, including MS Word, One Note, Microsoft One Drive, Microsoft Teams, PowerPoint , MS Project and MS Excel are necessary . Other MIS experience such as Workday and Salesforce a plus.
• Ability to operate independently and remotely from a supervisor.
• Must be able to work in Indianapolis, IN office 3 days per week.
