Job Title:Administrative Coordinator

Maine Conservation Voters (MCV) and Maine Conservation Alliance (MCA) are two statewide, nonpartisan, nonprofit organizations that are building a just, thriving future for all by acting on the climate crisis, protecting the environment, and safeguarding our democracy.

Position: Part-time Administrative Coordinator, to provide essential administrative and office support.

Supervisor: Executive Director

Work Week: Part-time, 16 hours per week

Location: MCA and MCV Office in Augusta, Maine

Compensation: $25/hour, not eligible for benefits

Qualifications: We are seeking a detail-oriented individual with strong organizational, communication, interpersonal, & computer skills. Non-profit organization experience appreciated. The ability to multi-task and enthusiasm for the missions are essential. A valid driver’s license and reliable mode of transportation are required.

Primary Responsibilities: The Administrative Coordinator is responsible for managing the administrative needs of the Executive Director and Boards of Directors and providing general office, administrative, and logistical support.

Activities may include, but are not limited to, the following:
• Work closely with the Executive Director on scheduling and administrative needs
• Schedule board meetings, sending board materials, arranging food and logistics for board meetings, updating board contact sheets, and maintaining board files
• Arranging logistics for organizational meetings including securing meeting locations, ordering food, assembling materials, and coordinating set up
• Coordinating office printing, supplies, and other purchasing needs
• Arranging travel for staff and board members
• Ensuring a clean and organized office space including coordinating with vendors for trash removal, recycling, paper shredding, and similar duties
• Creating and maintaining office filing and organization systems
• Maintaining office furniture, equipment and working with vendors
• Helping with financial and IT administrative needs like collecting monthly reimbursement forms and credit card receipts from employees
• Occasional data entry
• Handling confidential and sensitive information.
• Miscellaneous duties as needed

• Excellent organizational and time management skills
• Strong written and verbal communication skills
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Google platform
• Ability to prioritize tasks and manage multiple projects simultaneously
• Detail-oriented with a high level of accuracy
• Discretion and ability to handle confidential information
• Professional demeanor and strong interpersonal skills
• Experience with calendar management tools and scheduling software
• Ability to travel periodically for meetings and events.
