Project Services Coordinator

**Job Purpose:** Provide administrative support within the project services area. Responsible for accurately controlling, processing, tracking, and distributing critical engineering documentation received from and issued to vendors/customers for nuclear thermal projects and sales orders. This role involves communicating with employees, customers, and vendors, gathering and distributing information, preparing and distributing document approval reports, processing vendor and customer documentation for approvals and distribution, controlling vendor technical specifications, and more.
**Accountabilities:**
- Prepare and distribute document approval reports
- Daily maintenance and update of the DAR
- Process vendor and customer documentation for approvals and distribution
- Control vendor technical specifications
- Provide Accounts Payable with a breakdown of codes and standards departmental charges
- Maintain access and security to Engineering Vault
- Review incoming documents and distribute them appropriately
- Prepare, maintain, and update customer/vendor files
- Issue uncontrolled documents to vendors
- Ensure proper revision control and issuance of documents
- Retrieve and scan files stored offsite as needed
- Use SharePoint for electronic document transmission when required
- Backup long-term storage to Document Control
**Knowledge and Experience:**
- Minimum of 2 years of Record Management experience
- Proficiency in Access software, Database concepts, and Visual Basic programming
- Knowledge of document control concepts and electronic document management systems
- Experience with various software tools including MS Office, Adobe Acrobat, AutoCad, etc.
- Familiarity with records management and departmental procedures
- Clear understanding of BWXT Canada's operations and structure
