Job Description
Ecology Action is hiring a part-time Front Desk & Facilities Assistant at their Santa Cruz, CA headquarters. The role involves administrative tasks, maintaining office supplies, managing conference room bookings, and supporting staff with meetings. Candidates should have at least one year of relevant experience and be available 5 days a week for 4 to 5.5 hours daily. This position is not remote and requires on-site work.

The Front Desk & Facilities Assistant will perform administrative, and facilities related support including routine daily tasks, special projects as required, and covering for the Office Manager when needed. The position reports to the Office Manager and is on-site at our headquarters in downtown Santa Cruz, CA. Ideally suited for a candidate available 5 days a week, working between 4 to 5.5 hours daily, preferably from 8:30 AM to 1:30 PM, but it can be flexible.
Responsibilities
• Maintaining office equipment and supplies, replenishing the inventory to assure adequate levels.
,
• Monitoring the automated receptionist and voicemail systems. Responding to queries in person or electronically. Taking and transmitting messages. Screening, sorting and delivering mail. Assisting with shipping and receiving of packages.

• Overseeing reservations for and management of conference rooms and equipment. Checking daily schedules and setting up meeting furniture and refreshments.
,
• May coordinate food service for meetings and other events and assist staff with meeting-related needs.
,
• Providing administrative support as needed for routine and special projects.
,
• Opening and closing doors, windows, blinds, and fans throughout the office to control air flow and assure comfort.
,
• Performing regular maintenance tasks including cleaning up staff kitchens, laundering and stocking kitchen linens, and refilling paper/toner as needed in copiers.
,
• Performing maintenance of building exterior by cleaning litter and debris from the landscape, sidewalks, and parking lot.
,
• Organizing and maintaining basement storage area, including properly disposing of outdated or damaged materials, equipment, and files.
,
• Assisting with moving desks and other furniture throughout the offices, and basement, as needed.
,
• Regularly checking all areas for cleanliness and for ways to optimize staff productivity and well-being. Helping to maintain a safe work environment by monitoring for, and eliminating, hazards. Keeping the first aid and emergency kits stocked.

• Caring for indoor and outdoor plants.
,
• Other duties as assigned.
Requirements
• A minimum of 1 year directly related clerical, administration, facilities and/or computer experience.
,
• Valid driver's license and proof of current automobile insurance.
,
• Ability to effectively use a variety of business applications, e.g., security camera monitoring, scheduling systems, virtual phone system.
,
• Basic proficiency with Microsoft Word and Excel.
,
• Ability to be tactful and protect confidential information.
,
• An equivalent combination of education and experience may be qualifying.
